Data Versus Process

HRIS application that will best suit Larson Property Management Company is an Applicant Tracking System. According to Gamal (2019), an Applicant Tracking System is a system that allows electronic handling of new employee hiring. This will be the best system for Larson Company as it will enable the company to automate recruitment processes, reduce manual errors and improve data accuracy. Viewing the HRIS from both a data and process perspective will enable Larson company to deliver more value to its employees and stakeholders by providing more visibility of each domain. Applicant Tracking System data is not simply locked into the database, but it is also how the company is connected to process models. Viewing the system from a process perspective, the team will be able to see what data would be used in the design of the system and the architectural models. Additionally, from the data perspective, the design team will be able to see the context of the data and the benefits of all the places in the company where the data is used.
Moreover, viewing the HRIS system from both a data and process perspective is crucial as it will enable the change team to align the system’s requirements with the system users’ requirements. In this case, the system users are Larson employees and stakeholders. The change team will use this information to be able to understand how to effectively align the needs that the system is supposed to address. Larson company requires a system that will automate its recruitment process and make it easier for its HR team to manage employee data. Therefore, the change team will also use this information to understand the specific data types that they should prioritize, how they can categorize this data, and how they can use the data to formulate strategic decisions.

Logical Process Modeling

As stated above, the Applicant Tracking System will enable Larson Company to automate its recruitment process. The Applicant Tracking System’s key business activities and processes are; recruitment, selection, interviewing, hiring, orientation, and training. Recruitment is the process of advertising job vacancies to attract the best talents. This system will allow Larson to post job vacancies online. The HR team will not go through the hustle of printing posters and sticking them on billboards. Another business process is selection. The system will also allow the Larson HR team to select job applicants online based on the job requirements posted. They will not have to do this manually. After selection, the system will also enable the HR team to schedule and conduct interviews online. From the interviews, thethe best candidate will be selected and hired. The selected candidate will be oriented and trained on their roles and duties.
The system’s physical design will incorporate five main components. The components include; input requirements, output requirements, storage requirements, processing requirements and system backup. Input requirements will include posting vacancy openings, candidate assessment sages, uploads of candidate CVs and Resumes and retrieving this data into the database. Output requirements as part of the system’s physical design will involve the capability of the system to generate candidates profile with assessment tracking. This is important as it will enable the HR team to view the profile of specific candidates and asses one candidate at a time. For storage requirements, the system will have enough internal storage capacity to accommodate more than 5Mb files, and it will be scalable to accommodate the increase in the number of uploads. Processing requirements incorporate the capability of the system to filter searches. For this case, the Applicant Tracking System will allow the HR team to search candidates based on the date of application and job vacancy identification number. The last component of the physical design of the system is system backup. System backup is necessary to enable the Larson IT team to quickly recover data in cases of data breaches. This design is the best as it entails all the essential components that an ideal system should incorporate. This system is a one-stop shop for Larson Company.

HRIS Vendor

The three top most vendors of Applicant tracking systems are Oracle Taleo, Bullhorn and iCMIS. Oracle Taleo is a cloud-based system that offers solutions for employee hiring, development and retention. Oracle Taleo offers three different pricing plans based on the size of the business. The first price range for small businesses is 29 dollars per month; medium-sized business costs 54 dollars per month while large businesses cost 83 dollars per month. Oracle Taleo enables easy recruitment and allows employee referrals using social media platform as it also allows HR teams to integrate the system to other applications like Microsoft Outlook.
The second vendor is Bullhorn. Bullhorn is a cloud-based recruitment software tool that is best fitted for the staffing and hiring process. Bullhorn enables real-time data entry for any candidate interaction, anytime, anywhere. As compared to Oracle Taleo, Bullhorn offers four pricing categories. The categories are; Enterprise Plus, Enterprise, Corporate, and Team. All the packages start at 99 dollars per month, and the prices increase as business requirements changes (Nawaz, 2019). Bullhorn functionalities allow easy access and management of candidate data and easy addition of notes to records. It also allows a real-time update of candidate records and access to social media platforms.
iCIMS is recruitment tools that offer diverse solutions to companies. This software comes with talent acquisition tools with pre-integrated candidate assessment tools for better communications, scheduled notifications and automated replies. Compared to Oracle Taleo and Bullhorn, iCIMS is priced according to the number of employees in the business. For employees between 51-100, the software goes at 6,000 dollars per year. For 5000 and above employees, the software costs $140,000 per year. iCIMS manages job advertisements and searches collaboration with Google and social media. It also offers personalized dashboards with real-time insights. Of the three described vendors, I would recommend Oracle Taleo. One reason why I recommend Oracle Taleo to a client is because of its adaptability. Oracle Taleo can be modified according to the requirements of the company (McIntosh, 2017). It also offers real-time data integration. This will help the client reduce the number of data errors throughout the hiring, recruitment, and onboarding processes.
